Administrative Assistant
Location: ESC Region 15, San Angelo TX
Reports To: Program Director, Administrative Services/Federal Programs
FLSA Status: Non-Exempt/12 Months - 234 Days
Salary: N-E Pay Grade 2
Mission: Education Service Center Region 15 is dedicated to excellence in education through leadership, partnership, and service.
Position Purpose:
This position reports to the Administrative Services/Federal Programs Director and is responsible for providing efficient and organized clerical and administrative functions to support the ESC Region 15 Migrant Education Program and Career and Technical Education.
Major Duties/Responsibilities:
Perform general duties and secretarial tasks related to program operations, including typing, duplication, word processing, mail distribution, maintain appointment calendar, travel arrangements and expenses, activities, filing, office supplies, accurate, courteous telephone communications, messages, etc.
Responsible for initiation and follow-up of purchase orders for the Education Specialists.
Responsible for preparing workshop space, registration sheets, and evaluation sheets for in-service workshops as developed by the Education Specialists.
Responsible for checking the ASCENDER printout for totals of payment authorizations, travel vouchers, purchase orders, etc.
Will assume responsibility of office management such as: distributing workload, if necessary, and/or other responsibilities applicable to efficient office procedure.
Responsible for maintaining good public relations with area teachers and administrators.
Responsible for computer data input and associated reports.
Maintain budgets for programs as directed by supervisors.
Serve periodically as a relief person to the receptionist and operates a multi-line telephone switchboard.
Responsible for assisting other Education Service Center employees at the discretion of the Associate Director.
Communicate effectively with clients and/or staff members, utilizing proper channels.
Exhibit initiative by expressing opinions and suggesting changes.
Utilize good judgment in making decisions appropriate for job responsibilities.
Perform assignments efficiently and without continuous supervision.
Maintain an organized work area.
Perform other duties as assigned by the Education Specialists, Administrative Services/Federal Programs Director, Associate Director, and/or Executive Director.
Special Knowledge/Skills:
Computer skills to include network systems, desktop publishing, word processing software .
Ability to type accurately at a speed necessary to meet the requirements of the position
Possess filing system skills
Ability to explain and reach sound decisions in accordance with laws, regulations, policies and procedures
Multi-line telephone capabilities/switchboard
Ability to compose routine correspondence from brief instructions
Use tact and discretion in dealing with sensitive situations and concerned people and customers
Possess efficiency in preparing clear, accurate and concise records and reports
Experience:
Two (2) years office administrative or secretarial experience
30 semester hours of college credit with some business orientation or equivalent business school background
