Administrative Assistant III
Location: ESC Region 15 San Angelo, TX
Reports To: Associate Director, Teaching & Learning
FLSA Status: Non-Exempt
Pay Grade: 3
Position Purpose:
This position reports to the Associate Director and is responsible for providing efficient and organized secretarial functions in support of the Teaching and Learning programs, Specialists assigned and for the Associate Director.
Major Duties/Responsibilities:
Perform general duties of administrative assistant to the Education Specialists assigned.
Duties include correspondence, mail distribution, appointment calendar, travel arrangements and expenses, filing, office supplies, telephone messages, etc.
Responsible for assisting Education Specialists with program assignment trainings.
Order and record needed materials for contracted districts.
Keep accurate records of outgoing and incoming materials requested by districts.
Responsible for preparation and assistance with component workshops.
Responsible for initiating all purchase orders for supplies and materials for areas of assignment and following through with making purchase.
Responsible for initiating purchase orders for travel and reserving hotel accommodations and conference fee requirements.
Responsible for preparation and assistance with component workshops.
Responsible for all correspondence generated by supervisors.
Responsible for maintaining good public relations with area teachers and administrators.
Responsible for computer data input and associated reports.
Responsible for assisting other Education Service Center employees at the discretion of the supervisor(s).
Serves periodically as a relief person to the receptionist and operates a multi-line telephone switchboard.
Update and maintain list serves for programs assigned.
Utilize good judgment in making decisions appropriate for job responsibilities.
Perform assignments efficiently and without continuous supervision.
Demonstrate proper and efficient use of center materials and equipment.
Maintain an organized work area. Perform other duties as assigned by the Teaching and Learning Specialists assigned, Executive Leadership Specialist, Associate Director and/or Executive Director.
Special Knowledge/Skills:
Computer skills to include network systems, desktop publishing, word processing software
Ability to type accurately at a speed necessary to meet the requirements of the position
Possess filing system skills
Ability to explain and reach sound decisions in accordance with laws, regulations, policies and procedures
Multi-line telephone capabilities/switchboard
Ability to compose routine correspondence from brief instructions
Use tact and discretion in dealing with sensitive situations and concerned people and customers
Possess efficiency in preparing clear, accurate and concise records and reports

High School Diploma
Prefer payroll experience in governmental/school settings
A minimum of three years direct services experience
